Federal recordkeeping for private applicators of restricted-use pesticides was rescinded in July 2025 — but most growers still have legal recordkeeping obligations under state law, the Worker Protection Standard, product labels, and processor contracts. Here's the current landscape.
State pesticide recordkeeping rules
Every state regulates pesticide records independently. Many require 2–3 year retention, specific data fields (wind, temperature, applicator certification), and some require state-issued forms.
Worker Protection Standard (40 CFR Part 170)
If you employ agricultural workers or pesticide handlers, you must maintain application records for any WPS-labeled pesticide and display them centrally within 24 hours of application. Records must remain available for 2 years after the REI.
Commercial applicator requirements
Commercial applicators remain subject to federal RUP recordkeeping under 40 CFR Part 171, must record applications within 14 days, retain for 2 years, and provide records to customers within 30 days.
Label-driven requirements
Many product labels — especially dicamba, paraquat, and fumigants — impose stricter recordkeeping (72-hour generation, additional fields like buffer zones, and downwind sensitive areas) regardless of federal or state rules.
Processor & sustainability programs
McCain, Simplot, Lamb Weston, Cavendish, and other processors increasingly require application records as part of sustainability reporting. Contract renewals often depend on clean, accessible records.
RMA & crop insurance
Claims involving chemical damage, adverse events, or replant scenarios typically require verifiable application records. Missing or incomplete records are a common reason for denied or reduced payouts.

Does Insights work if I don't have Soiltech Beacons?
Yes. Insights is a standalone record-keeping platform — no hardware required. If you do use Soiltech Beacons, they automatically tie field data (soil moisture, temperature, rainfall) to your application records, but it's entirely optional.
Will my records hold up in a state inspection or audit?
That depends on the fields you capture and how your operation is organized. Insights gives you the structure to build templates with all the fields you need — federal, state, WPS, or processor-specific — and keep them consistent across your team and seasons. You decide what fields matter for your compliance context. Insights makes sure those fields get captured on every application, and that the records stay retrievable when you need them.
How do records get into Insights?
You or your team enter applications against the templates you've built. Records can be entered during or after an application and are tied to the relevant field, applicator, and season. Everyone on the team contributes to the same source of truth, which is usually the biggest leap forward compared to paper or spreadsheets.
Can my agronomist or custom applicator add records for me?
Yes. You can grant multi-user access to your operation with different permission levels. Agronomists and applicators can log applications directly to your account, and you can review and approve before records are finalized.
What does the free trial include? What happens at day 15?
Full access to every Core feature for 14 days. Once you submit your trial request, a Soiltech team member will set up your account and walk you through building your first record template — usually within one business day. If you decide Insights isn't for you, cancel any time before day 15 at no charge. On day 15, if you haven't canceled, you're enrolled in the annual plan at $1,188. We make the billing structure explicit during onboarding — no surprises.
Can I import my existing fields?
Yes. You can import your existing shapefiles into Insights and we also offer a one-on-one data migration for operations switching from other software or spreadsheet-based systems. Reach out to our support team after signup and we'll walk you through it.
What's the cancellation policy after the trial?
The annual Core plan is a 12-month commitment that renews annually. You can cancel renewal any time before your renewal date. We don't offer mid-term refunds because the pricing reflects the annual commitment — but we work hard to make sure you're getting value throughout the year.
